Key Responsibilities:
• Monitor commitments, invoices, and payment applications.
• Assist with monthly cost forecasting and variance analysis.
• Identify potential cost overruns and support corrective action planning.
• Assist in preparing quantity take-offs and cost estimates.
• Collect and analyze subcontractor and supplier pricing.
• Support the coordination of multiple development and construction projects from inception through completion.
• Assist with day-to-day project management activities, including tracking schedules, milestones, deliverables, and action items.
• Prepare, compile, and maintain project specification documentation, including consultant scopes, drawing sets, and interior finish and construction specifications.• Coordinate communication between internal teams and external stakeholders, including architects, engineers, contractors, consultants, and municipal authorities.
• Assist in the preparation, tracking, and maintenance of project budgets, cost reports, schedules, and internal reporting tools.
• Support procurement activities, including consultant coordination, tender documentation, and contract administration.
• Track consultant contracts, invoices, change orders, RFIs, and shop drawings to ensure timely review and approvals.
• Assist with entitlement, permitting, and municipal approval processes, including submissions, follow-ups, and documentation tracking.
• Organize and attend project meetings; prepare agendas, record minutes, and follow up on outstanding items.
• Maintain organized and consistent project files and documentation across all active projects.
• Conduct research related to market trends, development standards, materials, and best practices.
• Identify potential project risks or issues and proactively escalate them to the Development Manager or Leadership Team.
• Contribute to the continuous improvement of internal systems, processes, and documentation standards.
Growth & DevelopmentGMC Projects is committed to developing talent from within. This role is a 1-year contract however with demonstrated performance, the Special Projects Coordinator may progress into longer term employment and more senior project coordination or development management roles as the organization continues to grow. The position offers significant opportunity for professional growth, increased responsibility, and exposure to all stages of real estate development and construction.
Qualifications
• 3–5+ years of experience in real estate development, construction coordination, project management, or a related field.• Experience supporting residential, mixed-use, or commercial projects is an asset.
• Strong organizational and documentation skills with exceptional attention to detail.
• Clear and professional written and verbal communication skills.
• Ability to manage multiple priorities and deadlines in a fast-paced, collaborative environment.
• Proficiency in Microsoft Office, particularly Excel; experience with MS Project or similar tools is an asset.
• Demonstrated comfort with AI productivity tools (e.g., ChatGPT, Claude, Microsoft Copilot) to support research, documentation, and project coordination tasks; strong learning orientation and openness to integrating AI technologies into daily workflows.
• Proactive, accountable, and solutions-oriented approach to work.• Diploma or bachelor’s degree in construction management, project management, real estate, business, urban planning, or a related discipline preferred.
Compensation & Benefits
• Competitive 1 year contract salary range based on experience ($70,000–$100,000).• Extended health benefits, including medical, dental, life, and long-term disability insurance.
